Break Down Complex Tasks

What This Is

When a task is large, vague, or important, it is usually a mistake to ask AI to do the whole thing in one go.

Examples:

  • "Act as my personal assistant."
  • "Make a business plan."
  • "Sort out my charity project."
  • "Create a photobook from my travel diary and photos."
  • "Help me make a big life decision."

Those prompts leave too much unsaid. The AI has to guess the scope, tone, priorities, constraints, format, and success criteria.

A better first move is to ask AI to break the task into the key decisions that will shape the result. This is called decomposition.

The Simple Pattern

Use AI in two passes:

  1. Decompose the task. Ask AI to identify the important dimensions, choices, tradeoffs, and missing information.
  2. Write the real prompt. Review those dimensions, correct them, then ask AI to turn them into a clearer prompt.

The important part is the review step. Do not let AI define the task for you without checking its assumptions.

Reusable Prompt

Copy this and replace [TASK].

I want to create a high-quality prompt for this task:

[TASK]

Before writing the final prompt, break this task into 5 to 7 high-leverage dimensions.

For each dimension, explain:
- why it matters
- what tradeoff or decision it controls
- how it should influence the final prompt

Include dimensions such as goal, context, audience, constraints, source material, output format, tone, quality criteria, review steps, and how to handle ambiguity where relevant.

Then write a clear, copy-ready prompt I can use.

The final prompt should include:
- task instructions
- necessary context
- constraints and boundaries
- output format
- quality criteria
- guidance on when to ask clarifying questions
- guidance on what assumptions may or may not be made

What To Look For In The Answer

When AI returns the dimensions, check whether it has understood:

  • what you are really trying to achieve
  • what material it should use
  • what it must not assume
  • who the output is for
  • what style is appropriate
  • what format you need
  • what decisions still belong to you
  • what risks or privacy issues exist

If the dimensions are wrong, fix them before running the final prompt.

Example: Personal AI Assistant

Weak prompt:

Act as my personal AI assistant.

Before using that, decompose it.

Useful dimensions might include:

Dimension Why It Matters
Scope Decides whether the assistant helps with planning, writing, decisions, research, admin, or all of these.
Decision authority Defines whether AI suggests options or makes recommendations.
Communication style Controls whether the assistant is concise, detailed, challenging, gentle, formal, or direct.
Proactivity Defines whether AI only answers questions or suggests next steps and risks.
Boundaries Prevents AI from pretending to access systems, send messages, or make real-world commitments.
Memory and context Defines what past information should be carried forward within the conversation.
Handling ambiguity Tells AI when to ask questions instead of guessing.

Only after that should you ask AI to write the final assistant prompt.

Example: Travel Photobook

Weak prompt:

Make a photobook from my New Zealand diary and photos.

A decomposition pass would show that several decisions matter first:

Dimension Decision To Make
Goal Is this a family keepsake, a polished travel book, or a quick memory book?
Source material Will AI use diary text, itinerary, photo descriptions, thumbnails, or a small sample of images?
Photo handling Will the full photo library stay in the photo app?
Structure Should the book be chronological, by location, or by theme?
Tone Should captions be warm, funny, factual, reflective, or minimal?
Privacy Are there photos, diary details, children, addresses, or private moments that should not be uploaded?
Output Do you need a chapter plan, captions, shortlist checklist, or print-ready layout instructions?

That gives you a much better prompt:

Help me plan a New Zealand travel photobook.

Use my diary notes and itinerary to create a chapter structure, photo-selection checklist, and draft captions.

Do not assume you can see my whole photo library. The full photos will stay in my photo app. Tell me what kinds of photos to look for in each chapter and suggest captions from the notes I provide.

Style: warm, personal, understated, not like a travel brochure.

Output:

If information is missing, ask me targeted questions rather than inventing details.

Decomposition makes AI show its assumptions before it produces the final output.

That helps you:

  • expose hidden tradeoffs
  • choose the right tone

This is a small version of the operating-loop idea: define the work before asking AI to do the work.
